How To Time-Block Your Day In College (A Step-by-Step Guide!) | College Time Management Technique

Today I am going to share with you (step by step!!) how I manage my time using the time-blocking method. This is an effective time management technique for students and freshmen in school or studying online. If you struggle to balance your studies, work, and social life, continue reading!

What Is Time-blocking?

Time blocking is a time management technique where you group similar tasks into a β€œblock” and assign a time slot to work on each block. This method helps you stay productive on days you are not feeling motivated to work and is great for busy individuals who have to deal with different types of tasks every day.

Why Time-blocking?

  1. Helps avoid multi-task
    Time blocking helps you avoid multi-tasking. As you have already scheduled a time for all your tasks, you do not have to worry about running out of time.
  2. Improve your focus
    Context switching can affect your focus. Time blocking helps you get into deep focus by preventing you from constantly switching between tasks. Instead of creating a simple to-do list, you schedule your work tasks and allocate time for them. It makes sure that you have the time to complete your to-do list and helps you focus on doing a task at a time.

    The picture below shows a schedule that is NOT time blocked (12th May) and a time-blocked schedule (13th May). I categorize “organize lecture notes” and β€œdo readings” as Revision; β€œdo maths homework” and β€œwrite an essay” as Assignments.

As you can see, you do not have to switch between tasks when you time block your day.

  1. Increase productivity
    It may boost your productivity when you know that you are going to fall behind your schedule. You will think of more efficient ways to complete your tasks when you spend too much time on them.
  1. Stop procrastination
    You have created a timetable for yourself. It helps you stay productive even on days you are not feeling motivated to work. It also prevents you from taking super long breaks or constantly thinking about what to do next.
  1. Track and review your schedule
    It tracks the time you spend on each task. You can review and reflect on your time spent and adjust your plan for the next week or day.

Disadvantages of Time-blocking 

The time-blocking method can help you stay productive and get things done, but it also has some limitations.

  1. Unplanned events can ruin your schedule;
  2. Time estimation for each task can be inaccurate, especially when your energy level differs every day;
  3. It requires some effort to plan every week and morning.

How To Time Block As a Student In College

I am going to show you how I time block my day in College- 

  1. Prepare a time-blocking planner
    There are different types of hourly planners. I will use the half-hour weekly planner to show you how I time block my day. I also like to add a motivational quote to my spread to encourage myself.
  2. List out your weekly to-dos at the start of the week
    Your weekly to-dos are the tasks that have to be completed by the end of the week. List out all the things you have to do this week on the planner at the beginning of the week. This could be your assignments or the habits you want to develop. For example, β€œDo essay research”, book study room for weekend group study session”. I may add tasks to the weekly to-do lists during the week.

  1. Prioritize your tasks
    I like to prioritize my tasks using the Eisenhower Matrix. It determines the priority of my to-dos according to their urgency and importance. Here I block out the time for my meals, lectures, medical appointments, work, and meetings. These are the events I must attend or things that I must do. You can choose to block out the time for important events weekly or daily. I prefer blocking my time daily because it is more flexible. I can also take into account my energy level that day.

  1. List your daily tasks
    The next step is to list your daily tasks according to the weekly priority (urgency and importance). If the weekly task is a task that requires a lot of time to complete, you may break it into smaller daily tasks. For example, if you need 10 hours a week to do your essay research, you may break it down to β€œresearch cases on Topic X”, β€œmake case notes and summaries for Topic Y”, β€œresearch journal articles for argument 1”.
  1. Estimate the time you need for each task and determine your “peak hours”
    Estimate the time you need for each daily task. For example, I need 2 hours to research cases on Topic X. Overestimate the time you need so that your schedule will not be affected if you fail to get your work done within the planned time.

After that, determine your own β€œpeak hours”. If you are a morning person, your energy level may be higher in the morning.

  1. Schedule a time for each task
    Assign a time slot for each task according to its priority and your energy level. Schedule the high-priority tasks first. I am a morning person. I want to do my research in the morning because I need to be very focused when I read. As mentioned above, I always overestimate time. I leave time for travelling, urgent phone calls that may interrupt my work. Remember to schedule breaks too!

Then schedule the lower priority tasks, such as the important but not urgent tasks. I sometimes schedule small tasks between 2 tasks. For example, I always feel tired after lunch. Instead of studying right after lunch, I will wrap my friend’s birthday gift or book a room for the weekend group study session.

  1. Save some time as free time
    I like to save some time as β€œfree time” for unplanned events. 7-11 pm is my free time today. I can hang out with my friends, work on the tasks I have not completed in the morning, finish some other important weekly to-dos, such as apply for my internship or relax!

  1. Track and review
    Track and review your schedule at the end of the day or week. You may adjust your time estimation for each task next day or week if you need more time/less time to finish it.

Other time blocking methods

  1. Morning-Afternoon-Evening time blocking

This time blocking method is more flexible as you only group your tasks into morning to-dos, afternoon to-dos, and evening/night to-dos. It gives you greater flexibility. For example,
Morning-to-do:

  • Breakfast
  • Workout
  • Water Plant
  • Research Topic Y
  • Research Topic X

Afternoon to-dos

  • Reply emails
  • Wrap gifts
  • Study Tort law ch.4 readings
  • Do ch.4 practice papers

Evening to-dos:

  • Laundry
  • Video call Mom
  • Read a book
  1. The Pomodoro Technique

Decide on the main task you want to work on, and break them into smaller tasks. The Pomodoro Technique suggests that you work for 25 minutes and rest for 5 minutes. After 4 Pomodoro sessions, take a 10-minute break. Focus on completing a small task during the 25-minute work session. You can apply this to your time blocking planner to make sure that you take breaks.

10 Lists To Put In Your Planner To Stay Organized At Work & How I Organize Them

Struggling to stay organized and productive at work? I am going to share with you the 3 main types of lists and planners that will help you stay super organized on a workday! I will explain the function of these planners, the things you should consider when choosing your perfect layout, and how you can organize your planner. I have three main types of inserts in my work planner – time management planners, organizers, and trackers. The time management planners and trackers are my main planning tools. I use organizers to assist my planning/ to keep record.

Time Management Planner

1. Monthly Calendar / Monthly Planner

I like to jot down important dates, deadlines, appointments, and holidays on my monthly calendar planner. It helps me view all my appointments easily, and ensures that I am allowing myself enough time to finish my tasks before the deadline.

I set my goals and write down my monthly motivation at the beginning of each month. I have my calendar with me when I check my emails so that I can jot down deadlines and important dates easily. You can also use a monthly calendar for content planning or habit tracking!

2. Weekly Planner and Weekly To-do List

Your weekly to-dos are the tasks that you have to complete by the end of the week.

A weekly planner allows you to view your weekly agenda and work progress at a glance. You may want to use a weekly planner if your schedule changes a lot because you can easily reschedule your work tasks / to do. There are different weekly planner layouts. When choosing your weekly planner, you may consider:

  1. your job and your role;
  2. the degree of flexibility you allow yourself to have;
  3. whether tracking is important to you.

Some of you may only need a simple list to write down the things you have to do each day. A lined planner is perfect for you to stay organized.

But if you have lots of meetings and appointments, a weekly hourly planner may be a better choice for you.

If you are a teacher, or if your job requires you to handle lots of projects, you may want to use a subject planner. It helps you group your to-dos into different categories. This planner is great for organization and makes you feel less overwhelmed. 

3. Daily Planner

Tasks that have to be completed by the end of the day should be written on your daily planner. A daily planner provides you plenty of space to write your schedule and agenda. Therefore, if you are a busy person with a lot of meetings and tasks every day, you may want to use a daily planner. Most daily planners have a schedule in it for you to time block or schedule your day conveniently.

4. Priority Planner

A priority planner can help you stay productive at work. Decide on your focus and your priority at the beginning of each week and each day. I like to prioritize my tasks according to their urgency and importance using the Eisenhower Matrix. I put tasks with the highest priority on my planner, then delegate tasks with lower priority to others or schedule them to another day.

5. Inbox

An inbox page is for you to write down your unscheduled tasks. Once you have scheduled it on your planner, you can remove this item from your inbox page.

6. Email Planner

I like to apply the β€œ2-minute rule” by David Allen when it comes to email management. If the task takes less than 2 minutes to finish, you should do it now. If it takes you more than 2 minutes to get it done, then schedule it. I have a “follow-up” and a “send and reply” email section on my daily planner to organize my email-related tasks.

7. Routine Checklist

These are the things you have to do regularly. Remind yourself to do the daily/weekly tasks without having to write them down on your planner every day.

An example of a daily morning work routine would be

– Print Boss’s email

– Check my email

– Update the company’s master calendar

8. Productivity and Focus Tools

If you find it hard to stay focused at work, you may add some productivity tools to your planner. A weekly hourly planner or a Daily hourly planner allows you to time block. Group similar tasks into 1 category and assign a time slot to work on them. You can also break your day into several short work sessions. Focus on one task each work session. The traditional Pomodoro Technique suggested that you work for 25 minutes and have a 5-minute break. But you can always adjust your work session duration. Tools like the 10 minute planner breaks your 24 hours into 10 minute sessions for productivity and focus. . These 2 methods give you less flexibility, but they prevent you from constantly switching between tasks and help you stay focused.

9. Daily and Weekly Review

I can’t stress enough how much reviews and reflection have helped me stay motivated and productive. I break my weekly to-dos into smaller daily tasks everyday. At the end of each day, I write down the things I have done and the progress I have made. It tracks my progress and ensures that I am working in the right direction. 

Here’s an example:

Weekly to do – Research and organize data for proposal one

Monday to do – Read 2019-2020 report

Monday review – I have finished reading 2019-2020 August reports

Tuesday to do – Finish reading September 2020-2021 reports

Weekly Review on Friday (or Sunday)- Have I finished my weekly to do? Did I set unrealistic goals? What are the things I have done well? Is there anything I can improve? 

10. Progress Tracker

You may be very familiar with this planner layout if you are a teacher. It helps you organize your to-do list by subject. But you can also use it as a progress tracker by writing down the progress of each project in it.

Organizing my planner inserts and how I use them

You probably don’t want to refer to 10 lists and 10 calendars before you start working. This is way too time-consuming, inefficient, and messy. Therefore, I like to use a planner layout with all the things I need on one spread. 

As mentioned previously, my time management planners and trackers are my main planning tools. They are inserts I use most. I use organizers as tools to assist my planning process.

Weekly Work Planner Printable

This is by far my favorite weekly work planner. It allows me to set goals, list out my weekly to dos, prioritize my work, and time-block on 2 pages. I can also choose whether to use the timetable on the left for time-tracking or time blocking. Most importantly it allows me to review my week!
